booking & Resort policies

Your reservation is not confirmed until the 25% booking deposit has been processed by Wilson’s Coastal Club and you have received a reservation confirmation. The payment of your deposit affirms you have read, understood, and agree to abide by the terms and conditions outlined in Wilson’s Coastal Club’s booking and cancellation policies in their entirety.

Once your reservation is confirmed, you are responsible for verifying that everything on your reservation confirmation is complete and accurate (including dates of check-in and check-out).

Check-In & Check-Out: Check-in begins at 3:00PM and is contactless after 5:00PM. Checkout is at 10:00AM.

Payments: A valid credit card is required for all reservations, and we do not accept payments made via cash or cheque. We accept payments made by VISA, Mastercard, American Express & Interac Debit. Beginning January 1, 2024 there will be an additional 3% transaction fee for payments made by credit/debit cards. If you would like to avoid this fee, you may pay your reservation balance via Email Money Transfer (EMT) to payments@wilsonscoastalclub.com (though a valid credit card is still required to be on file). Please note that payment is not complete until you have received confirmation from the Guest Services Team of such. All pricing is subject to 15% Harmonized Sales Tax (HST).

Halifax Regional Municipality’s Marketing Levy: Effective October 1st, 2023, all tourism accommodations operating within the municipality are required to collect a marketing levy of 3% of revenues per night. This fee is payable to the operator at the time of purchase of the reservation. The marketing levy is designed to support the sustainable development of the tourism industry, including funding of events through the municipality’s Special Events Reserve Grant Program, and to partially fund operations for the regional Destination Management Organization, Discover Halifax. The Marketing Levy is enabled by provincial legislation and imposed through the municipalities By-Law M-400, Respecting Marketing Levy.

Minimum Age to Book: All reservations must be made by an adult aged 19 years of age and older, with any guests under 19 accompanied by an adult of at least 19 years of age. Wilson’s Coastal Club Resort reserves the right to refuse or cancel a booking without refund in the event this policy has been violated.

Guests: Due to local fire regulations, we need to know how many people are on site each night. As such, all person(s) staying in a cottage as part of a reservation must be registered as a guest. Should additional guests beyond the cottage’s capacity join, there may be an associated fee for the extra person(s) - Cottage capacities are based on double occupancy per bedroom.

Wood-Fired Hot Tubs: We need a minimum of 24-hours notice to add a hot tub to a reservation. Bookings made with less than 24-hours notice prior to check-in will likely not have use of their wood-fired hot tub on the first night of the reservation. Online reservations wanting to use their cottage’s hot tub must select Hot tub Add-On to add the wood-fired hot tub to the booking. We will prepare, start and initially warm wood-fired hot tubs for bookings which include this add-on, and guests maintain/take over operation of the hot tub for the remainder of the reservation. A signed waiver is required in advance for all person(s) using the wood-fired hot tubs. To extend the longevity of the wood-fired hot tubs, only wood purchased from the resort’s office may be used. Firewood may be pre-purchased at the time of booking or from the Guest Services Team during resort office hours (10am-5pm, excluding holidays). All wood-fired hot tub users must adhere to and comply with the rules and policies outlined in the Wood-Fired Hot Tub Waiver. There are rare instances where the hot tubs cannot be prepared/used or that might cause the preparation of the hot tub to be delayed.  These circumstances include, but are not limited to, strong winds, extreme temperatures, fire bans, heavy rain/snow, thunderstorms, low tide, rough waves, and tropical storms/hurricanes/blizzards.  In the event there is a delay, hot tubs will be prepared for guest use as soon as the conditions allow.  Full refunds for this add-on will only be issued in the event that the hot tub cannot be prepared for any of the nights on a reservation.

Wood-Fired Sauna: This is a communal amenity available exclusively to registered resort guests. A signed waiver is required for each guest using the sauna prior to or at the inception of the reservation. Only wood purchased from the resort’s office may be used in the wood-fired sauna to ensure its longevity. Firewood may be pre-purchased at the time of booking or from the Guest Services Team during resort office hours (10am-5pm, excluding holidays). Only fresh (non-salt) water may be used to generate steam in the wood-fired sauna. Guests are prohibited from using salt-water from the ocean inside the sauna as this damages the unit. All sauna users must adhere to and comply with the rules and policies outlined in the Wood-Fired Sauna Waiver. The sauna is non-operational during periods where fire bans are in effect.

Dogs: We welcome up to two(2) dogs per cottage. All dogs/animals entering the property at Wilson’s Coastal Club Resort must be registered on a reservation with an associated signed waiver. Waivers must be signed prior to or at the reservation’s inception. Guests must adhere to all the rules and policies laid out within the Dog Waiver. Dogs can be added to any online reservation by selecting the Dog Add-On.

Waivers: Waivers are sent electronically at the time of booking and are due the day the before the reservation begins.

Resort Quiet Hours: The resort has a strict ‘do not disturb’ policy between the hours of 11:00PM and 8:00AM on the property. Guests are to be mindful of their noise/disturbances to others between these hours.

Smoking Policy: All cottages are non-smoking and a $250.00+HST cleaning fee will be charged to any guests who violate this policy. Fire pits are not to be used to dispose of cigarette butts and there is a $50.00+HST cleaning fee charged to guests who violate this policy. We do supply small outdoor buckets to use for cigarette disposal.

Gatherings/Special Events: Any birthday parties, family reunions, or gatherings with additional guests must be reported to the Guest Services Team for approval. Additional usage fees may apply at the discretion of Wilson’s Coastal Club Resort.

Weddings: Weddings and organized functions require a contract, property usage fee, and are subject to regulations. Contact the Guest Services Team for more information.

Discounts: Discounts and promotions are not stackable. A maximum of one(1) discount code/promotion may be applied per reservation.

Resort Office Hours: The Guest Services Team is available at the resort’s office 10:00AM-5:00PM daily, excluding holidays. The resort office is closed on New Years Day, Family Day, Good Friday, Easter Sunday, Easter Monday, Victoria Day, Canada Day, Natal Day, Labour Day, Thanksgiving Sunday, Thanksgiving Monday, Christmas Eve, Christmas Day, and Boxing Day. Any check-ins taking place on these days will be contactless. Firewood is not available for purchase outside of resort office hours (though you may pre-purchase it at the time of booking).

Fire Pit Usage: Outdoor fire pits must be used responsibly and fires may never be left unattended. Guests must comply with Nova Scotia’s Burn Safe fire guidelines, notably Burn Bans or restricted burning times. During the high risk burning season (March-October), Nova Scotia’s Burn Safe website is updated daily at 2:00PM. Any violations and/or associated fines/charges are chargeable to the guest, not Wilson’s Coastal Club Resort.

WILSON’S COASTAL CLUB RESORT CANCELLATION POLICY


If for any reason you did not receive our Cancellation Policy with your reservation confirmation, please advise us immediately so we can forward the policy to you. We strongly recommend you read the Cancellation Policy in its entirety as Wilson’s Coastal Club Resort will not deviate from the policy for any reason.

In the event of inclement weather or unforeseen circumstances of any nature, Wilson’s Coastal Club Resort reserves the right to cancel a reservation at any time. Deposits paid for reservations will be reimbursed in full.

We highly recommend our guests consider purchasing trip cancellation insurance for the total cost of their reservation at Wilson’s Coastal Club Resort to safeguard against potential cancellations.

Additionally:

  • All cancellations must be made in writing via email to info@wilsonscoastalclub.com.

  • Cancellation fees will apply to each cottage booked under your name and/or reservation.

  • To receive a full refund, guests must cancel their reservations within 48 hours of booking.

  • If you cancel any time after 48 hours of booking until 15 days before check-in, your credit card on file will be charged a $175 + HST administration cancellation fee.

  • If you cancel between 7 and 14 days before check-in, your credit card on file will be charged 50% of the cost of the full reservation for all nights.

  • If you cancel less than 7 days before check-in, your credit card on file will be charged 100% of the cost of the full reservation for all nights.


Circumstances Not Eligible for a Refund:

  • Any health condition or health consequences related to COVID-19 or any other illness.

  • Transportation disruptions and cancellations whether by land, air, water, for any reason.

  • Travel advisories, travel cancellations and/or travel restrictions issued by any transportation company whether by land, air, or water.

  • Federal, Provincial and/or Municipal Government issues travel restrictions.

  • Health advisories and quarantines.

  • Changes to applicable law(s) and other federal, provincial and/or municipal government mandate(s) such an evacuation orders, border closures, prohibitions on short-term rentals, non-permitted travel between provinces and/or “stay at home” orders.

  • Inclement weather includes but is not limited to tropical storms, hurricanes, rainstorms, or storms.
